Review requests go out after a project wraps, at a time someone picks. Every day the system pulls in new reviews and matches each one to the person who wrote it, so nobody is asked twice and the team can see who has already left one.
How review requests worked before
Reviews come from people the team already knows, but a review appears under a display name, nowhere near the contact list. Nobody could say who had left one, so some clients got asked twice and some were never asked.

How the review matching works
The request goes out after the project.
When a project wraps, someone picks when the ask goes: that day, or one to four weeks later. It sends at noon from a team member's own mailbox, with the review link.
New reviews are pulled in daily.
New reviews are pulled in from the business profile each morning and collected in one list.
Each review is matched to a contact.
The system compares the reviewer's name with the people it asked. A clear match connects at once, and that contact greys out and gains a star.
Unsure matches go to a person.
A first name alone, or a company mentioned in the text, becomes a suggestion. Someone confirms or rejects it, and a rejection sticks.
What the team can see now
Anyone about to ask for a review can see who has already left one and who has not been asked yet. The ask stays personal and goes out under a real name.
